Invoice Type in Customer Invoices
A selection field Invoice Type is added in the Customer Invoice. We have 3 options for invoice type – Local invoice, Export Invoice & Service Invoice . Based on the invoice type selected, upon validation, invoice number get generated, i.e, the invoice number sequence depends upon the invoice type selected and it is a mandatory field for customer invoice validation.
We have added a menu Menu ‘Vouchers’ (located as Invoicing -> Adviser -> Vouchers). Under this menu, we have Receipts , Payments & Contra.
Receipts : This is the customer receipt form. This is the same menu which was previously available under Invoicing → Sales → Documents→ Sales Receipts.
Payments : This is the Purchase Receipt form, which was Previousl available Under Invoicing → Purchase → Documents → Purchase Receipts.
In the Journals, we have added two more options receipts & payments to the field ‘Type’. So that only journals of the the receipt type will be listed for ReceiptS and Journals of type payment type will be listed for Payments
Contra : Contra is actually payment form. It is intended for internal transfers. In the contra payment, we have added some modification to the basic internal transfers , if the amount is transferring in foreign currency.
We can select Payment type of Internal transfer only, in contra vouchers. Contra voucher works in the same way how a normal internal transfer works. The change is when we transfer amount expressed is in foreign currency. Here we can find the ‘Transfer from’ and ‘Transfer to’ journals. If the selected ‘Transfer to’ Journal currency is not the company currency, additional fields, Ex.Rate, Exp.BC Amount, Act.BC Amount and Ex.Rate Diff become visible.
Ex.Rate : This is a readonly field, which shows the exchange rate for the payment amount currency.
Exp.BC Amount : The amount expected to transfer, expressed in the transfer to journal currency.
Act.BC Amount : This is an editable field. Here the user can enter the actual amount to transfer, expressed in the transfer to journal currency. This amount will be passed to the transfer to account.
Ex.Rate Diff : Even Though we are calculating the Expected Amount, we can add the Actual Amount we want to transfer in the Actual BC Amount field. The Difference between Expected and actual Amount will shown in the Ex.Rate Diff field.
Diff. Account : If there is a value in the Ex.Rate Diff field, the Diff.Account field will become visible. This allows the user to specify the account to credit/debit the Ex.Rate Diff amount. The Diff.Account set to the Exchange Gain or Loss account, in the accounting settings. By default.
On clicking the Confirm Button, the Contra Voucher will get Posted.
And Journal items will be Created,Journal items can be seen when clicking on the Journal Items Button.
In the created journal items, we will have the ‘Exchange Rate Difference’ Journal item besides the Transfer to and Transfer From accounting entries.
We have added voucher report in this module. The report is available for receipt & payment vouchers.
